Booking Settings and Customization

The Booking Settings page allows you to customize how your appointment scheduling system operates. From buffer times to advance booking limits, these settings help you control the booking experience for both you and your visitors. This guide explains each setting and provides recommendations for optimal configuration.

Accessing Booking Settings

To access your booking settings:

  1. Go to your Dashboard
  2. Click on Bookings in the navigation
  3. Select the Settings tab

All booking customization options appear on this page.

Enabling and Disabling Bookings

The main toggle controls whether visitors can book appointments with you.

SettingWhat Happens
Enabled (On)Visitors see the Book a Time button on your profile
Disabled (Off)Booking button is hidden from your profile

When you disable bookings:

  • The booking button disappears from your public profile
  • Existing bookings remain intact
  • You can still manage and fulfill existing appointments

When to Disable Bookings

Temporarily disable bookings when:

  • You are going on vacation
  • You are not accepting new clients temporarily
  • You need to set up your schedule before going live
  • You have reached capacity for the current period

Buffer Time Between Appointments

Buffer time creates automatic gaps between appointments. This prevents back-to-back meetings and gives you time to prepare.

Buffer SettingUse Case
0 minutesNo buffer; appointments can be consecutive
15 minutesQuick break for notes or short calls
30 minutesStandard buffer for preparation and follow-up
60 minutesExtended buffer for detailed preparation

How Buffer Time Works

If you set a 30-minute buffer:

  1. Visitor books a 30-minute meeting at 10:00 AM
  2. The meeting ends at 10:30 AM
  3. The next available slot is 11:00 AM (30-minute buffer applied)

Buffer time is added automatically and visitors only see available slots that respect your buffer settings.

Minimum Notice Period

The minimum notice period controls how far in advance someone must book. This prevents last-minute bookings that you cannot prepare for.

Notice PeriodEffect
1 hourAllows same-day, nearly immediate bookings
24 hoursRequires at least next-day booking
48 hoursTwo days advance notice required
1 weekWeek-ahead planning only

Choosing Your Notice Period

Consider these factors when setting minimum notice:

  • Preparation time: How much do you need to prepare for meetings?
  • Calendar management: How often do you check your bookings?
  • Client expectations: What is standard in your industry?

For most professionals, 24 to 48 hours provides a good balance between accessibility and preparation time.

Maximum Advance Booking

The maximum advance booking controls how far into the future someone can book. This prevents bookings so far ahead that your schedule may change.

Advance LimitUse Case
1 weekOnly near-term, confirmed availability
2 weeksShort-term planning window
1 monthStandard booking range for most professionals
3 monthsLong-term scheduling for established practices

Choosing Your Advance Limit

Consider:

  • Schedule stability: How predictable is your calendar?
  • Planning needs: Do clients need to book far ahead?
  • Business type: Some services require longer planning periods

Start with a shorter window and expand as you understand your booking patterns.

What Visitors Experience

When a visitor uses your booking feature, they go through a streamlined process:

The Visitor Booking Flow

  1. Book a Time button: Visitor clicks to start booking
  2. Calendar view: Available dates are highlighted
  3. Date selection: Visitor picks a date
  4. Time slots: Available times appear based on your settings
  5. Appointment type: Visitor selects meeting type
  6. Contact form: Visitor enters their information
  7. Confirmation: Booking is confirmed and submitted

All your settings (buffer time, notice period, advance limits) are reflected in the available options visitors see.

Time Zone Handling

MYZO automatically handles time zone conversions between you and your visitors:

Your SideVisitor Side
Set availability in your local time zoneSee slots in their local time zone
View bookings in your time zoneReceive confirmation in their time zone
System stores UTC time internallyConversions happen automatically

How It Works

  1. You configure availability in your time zone
  2. A visitor in a different time zone views your profile
  3. They see available times converted to their local time
  4. When they book, the system records the actual UTC time
  5. Both you and the visitor see the meeting in your respective time zones

You do not need to manually convert times or worry about time zone confusion.

Best Practices

Follow these recommendations for optimal booking settings:

Start Conservative

Begin with more restrictive settings:

  • Longer notice periods
  • Shorter advance booking windows
  • More buffer time

Expand as you understand your workflow and client needs.

Leave Buffer Time

Always set some buffer time between appointments. Back-to-back meetings lead to:

  • Running late
  • Inadequate preparation
  • Burnout

Even 15 minutes makes a significant difference.

Require Reasonable Notice

24 to 48 hours notice is standard for most professionals. This gives you time to:

  • Review the booking
  • Prepare materials
  • Confirm the appointment

Review Settings Regularly

Check and adjust your settings:

  • When your schedule changes
  • Seasonally if your business has cycles
  • Based on feedback from booking patterns
